The Opportunity

The Coordinator, Youth Programs is a high-capacity, detail-oriented role that supports the coordination and execution of our youth programs portfolio. Visions of Science offers a continuum of programming that supports youth from Grades 7 through early post-secondary, including leadership development, career exploration, paid internships, and postsecondary navigation.

The Coordinator plays a vital role in ensuring these programs run smoothly, managing logistics, coordinating events, tracking systems, and supporting program delivery teams. From weekly workshops to large-scale events like the STEM Futures Expo, this role ensures that experiences for youth are meaningful, well-executed, and youth-centered.
This is well-suited for someone with strong project management skills, excellent communication, and a passion for educational equity. It offers significant responsibility within the coordination function, along with autonomy and growth potential.

Position Details:
  • Contract Type/Term: Full-time, Indefinite
  • Start Date: October 2025
  • Hours of Work/Schedule: 35 hours/week

  • Job Location(s): Toronto-based. Hybrid model with occasional in-office work (71 Regent Park Boulevard) and remote work as applicable.
  • Salary: The starting salary for this position is set at $60,000 per year, with opportunities for growth based on performance and organizational advancement. 
  • Reports To: Sr.Manager, Youth Programs

Key Responsibilities
Program Coordination & Delivery
  • Coordinate and support youth programming across the academic year and summer, including scheduling, communications, materials preparation, and system tracking.
  • Manage logistics for programs and events, including purchasing, booking venues, catering, transportation, and supplies.
  • Provide logistical support for major events such as the STEM Futures Expo, yearly graduation ceremony,  program showcases, alumni events, and seasonal summits.
  • Support facilitators and program teams with preparation and execution to ensure consistent, high-quality youth experiences.
Event & Partner Coordination
  • Liaise with schools, community partners, guest speakers, and staff to confirm participation in panels, field trips, and program activities.
  • Coordinate calendars and timelines across youth program streams in collaboration with program managers and facilitators.
  • Assist in developing and executing seasonal program events, ensuring smooth event flow and strong participant engagement.
Program Administration & Monitoring
  • Maintain accurate registration, attendance, and engagement records in CRM systems (e.g., Salesforce).
  • Monitor participant feedback and program outcomes, preparing reports to inform future development.
  • Track and reconcile program expenses in collaboration with the Operations and Finance teams.
  • Support special projects such as curriculum builds, toolkits, and pilot initiatives by coordinating timelines and deliverables.
Team Support & Internal Coordination
  • Coordinate internal program planning meetings, agendas, and cross-team alignment sessions.
  • Assist in onboarding, training, and guiding facilitators and other team members.
  • Provide responsive communication to staff, youth participants, and caregivers, ensuring smooth information flow.
  • Contribute to a culture of excellence, collaboration, and innovation by sharing ideas, feedback, and problem-solving solutions.

What We’re Looking For

Education & Training
  • Post-secondary education in a relevant field (e.g., education, youth development, STEM, community work), or an equivalent combination of training and experience.
  • Ongoing commitment to professional development and continuous learning.
Required Experience & Expertise
  • 3–5 years of experience in youth program coordination, event planning, education, or nonprofit project management.
  • Experience working with youth from underrepresented communities and strong understanding of youth development.
  • Demonstrated ability to plan and coordinate complex programs or events with multiple stakeholders.
  • Availability to work occasional evenings/weekends for program events or showcases.
Key Competencies & Skills
  • Strong organizational and time management skills with the ability to manage concurrent priorities.
  • Excellent interpersonal and communication skills with youth, families, partners, and staff.
  • Adaptability and ability to thrive in dynamic, youth-centered environments.
  • Problem-solving abilities and a willingness to use feedback and data for improvement.
  • Comfort with tools such as Google Workspace, Microsoft Office, and project management platforms (e.g., Asana, Notion).
Preferred
  • Experience supporting youth from underserved communities or understanding of systemic barriers.
  • Background in STEM education, youth development, or experiential learning.
  • Familiarity with leadership development, mentorship models, or curriculum-based program delivery.
  • Salesforce or CRM experience.
